I think this will have long reaching effects on the future of Social Media and integrating our Social Media with our real lives. Facebook and updating Statuses is here to stay and coming to the real world. This is going to wind up coming to the masses and having an impact on us and how we host events soon! The numbers this event brought in for 650 teenagers to have 35,000 hits for one event speaks volumes!

I don’t know about you, but I get excited about new technologies and how they impact our lives, even something as simple as Social Media. I can see this tool coming into the grown up world in our live events we attend. This will bring our live conference events a more exciting experience as vendors scramble to make the conference experience such an exciting event that people will want to check into their booths and “update their status” to share the experience with others who can’t attend the event.

How many events will you hold per month and how many people will attend?

You need to find this out to help you determine what the long term strategy is for your client, what kind of work you are going to need, what kind of time-line you will be working on to get there and what type of platform you will need for the event. Will your platform be able to support the amount of anticipated guests? These will be very important in determining the final objective and what role you are going to play in getting them to their final goal.

Will you generally use a phone bridge or will you be pushing sound out to attendees through their computer speakers?

This is going to help you determine what type of event you are going to have to plan and how you are going to get it recorded and what type of contingency plans you are going to need for that event.

Since we gathered the information necessary in our pre-planning phase to get to this point we need to keep in mind the 3 reasons that people attend virtual events according to The FactPoint Group.

1) gather information/gain knowledge;

2) network with others; and

3) for the location.

For those who cannot afford the time or expense to attend a physical event in an exotic locale, a virtual event can deliver on these first two objectives as well as or better than physical events. Keeping that in mind you need to plan your events in a way that focuses on these things, holds the interest of those attending and builds their business in a way that will bring them back to your events. The first thing in planning for your event is to ensure that you are going to be holding your event on the right platform to meet your client’s business objectives for the event.Over the next few posts I will cover some questions you will need to ensure that you understand your client’s goals and how to meet them.

1. What is your event objective?

By asking this question it will reveal a few things. If the event objective is to fill seats so they can get the numbers they need to sell a product, which is going to be different than having an event objective of list building.

The way this differs is that if your client needs numbers to sell a product, then you will need to examine who their ideal clients are and how to reach them. If they are just looking to list build, then you will need to focus more on having generalized content for a free event.

By understand the event objective you will understand better what type of event your client is going to have to put together and which type of platform will suit that event the best.
